Clinical or Business Software? ABA Matrix Says Practices Shouldn’t Have to Choose.

Many ABA providers document care in one system and bill in another, using workarounds to bridge the gap.

In 2018, three software developers helped one ABA clinic trade pen and paper for software. The company says what Ernesto Prieto, Jorge Concepcion, and Victor Martinez found was bigger than one clinic’s paperwork. ABA providers were operating complex clinical and business work without software designed to connect the two.

As the founders saw it, practices often had to compromise: choose software built mainly for clinical work, choose software built mainly for running the business, or piece the two together and still live with gaps. Yet the two sides depend on each other. Scheduling shapes service delivery, documentation shapes billing, session data informs treatment decisions, and supervision affects compliance. When those pieces sit in different systems, staff end up carrying information from one to the next.

ABA Matrix grew out of that finding: one system for both sides of the practice, built on the premise that clinical care and practice operations were never separate and the software shouldn’t be either. More than 700 practices now use it, the company says.

The problem reaches beyond one clinic. In May, BreakingNewsABA reported that practices on disconnected systems absorb hidden costs in administrative time, claim denials, unbilled sessions, and staff frustration – costs that compound as practices grow.

Why the Split Matters Across ABA

That report identified the problem with how ABA software grew up: as separate tools for data collection, practice management, billing, scheduling, and credentialing, with no shared data underneath them.

The company points to a second problem: rigid systems that constrain clinical choices, from how a practice defines short-term goals to the small steps a treatment plan breaks each goal into. Fragmented systems also limit visibility, the company argues, at a time when practices need to catch problems in authorizations, notes, supervision, and finances before they surface in an audit, a denied claim, or a report after the fact.

Concepcion, ABA Matrix’s chief executive, argues the stakes are rising. In a 2026 column for Healthcare Tech Outlook, he pointed to tighter authorizations, more frequent audits, a major Medicaid funding cut about to phase in, and growing payer and investor interest in quality metrics. All of it points the same way, he wrote: outcomes documentation “is far more likely to move from ‘nice to have’ to ‘required’ over the next several years than to fade as a priority.” In the company’s view, proving outcomes depends on session data that connects to goals, treatment plans, and progress reports.

Built as One Connected System

In ABA Matrix, the company says a finished session note feeds billing and payroll without retyping. The parts are not sold separately: a practice cannot buy only the scheduler, the company told BreakingNewsABA, because billing depends on a completed session, a finished note, and the client’s treatment plan. Being all-in-one, it says, “isn’t about accumulating features.”

The software can also hold back unfinished work. Healthcare Tech Outlook’s 2026 profile describes two controls: a 48-hour window that prevents billing for late notes, and a hold that stops visits or note submissions when a clinician’s credential expires. AI Audits, a newer feature, reads a session note as the therapist writes it and checks it against the practice’s documentation rules and the client’s treatment plan, so clinicians can fix problems before submitting the note.

The same thinking shapes how the company sells the software. It adds new capabilities, including AI Audits and the offline data collection app, including AI Audits and the mobile app, to the platform rather than selling them as upgrades. The app lets clinicians collect data and capture signatures without an internet connection in homes, schools, and community settings.

“We don’t believe the best version of ABA Matrix should cost more,” said co-founder Ernesto Prieto. “There’s only one ABA Matrix, and our job is to keep making it better.” Practices pay based on completed therapy sessions, not per therapist, user, or client, and every user gets the full platform.

What Practices Say Changed

At Better Future Behavioral Therapy Center, the old software’s limited data and reporting tools buried staff in paperwork. According to a case study ABA Matrix published, it slowed writing assessments and behavior intervention plans.

“We felt like we were stuck. We couldn’t expand because the old system required so much administrative work.” – Jennifer Hernandez, Office Manager, Better Future Behavioral Therapy Center (2026)

After the switch, behavior technicians entered session data directly into the platform, where analysts saw it immediately. The data fed summaries and graphs, and alerts flagged anything missing or unreviewed. The practice reported less time on administrative work, more room to serve clients, and higher staff satisfaction. “It lifted a weight off our shoulders,” office manager Jennifer Hernandez said.

Two Hearts ABA Therapy reports adjusting intervention plans within the same week and seeing claim denials sooner since moving its clinical and business work into one system, according to ABA Matrix and Healthcare Tech Outlook.

Other Therapies and Schools Come Next

The self-funded company is now carrying the same idea beyond ABA. Tools for speech, occupational, and physical therapy are in beta, aimed at providers offering several therapies who want to run them through the same connected system. The company is also evaluating ABA tools for schools, where providers, teachers, and other professionals work with the same student. It plans more features for the offline data collection app; including a fuller billing and collections service that tracks patient accounts, copays, coinsurance, and recurring schedules.

The company counts integration as both a major strength and challenge. Every addition, from beta therapy tools to the planned collections service, must plug into notes, authorizations, billing, payroll, and supervision without making the software harder for technicians, BCBAs, or billing staff to use.
